terms of their storage rental. The tenant also fills out the information line with their own information. We have attached a copy of the customer's contract for your review. You will notice on the line intended for "city, state and zip", the tenant did not write his zip code. We also have highlighted the portion of the contract that requires a 2 week notice before vacating, and expressly states that refunds are not provided for rent paid in advance. On September 30, the tenant went onto our website and paid his rental fee for October. On October 1, he decided that he didn't want to use the space any longer and informed our front desk manager. Since we always try to work with our customers, the front desk manager told him that since he was still within the 5 day grace period, we wouldn't worry about the required 2 week notice and would refund him $192.71 for the rest of October. This was done as a  courtesy to the customer since the signed lease explicitly states that we do not refund advanced rent. The front desk manager then printed out a copy of the move-out receipt for the customer to check for accuracy. As stated in the customer's complaint, he verified this information. The manager then submitted this refund request to the A/P manager and check #[redacted] was printed on 10/4, with the address approved by the tenant. After receiving the owner's signature, the check was put in the mail on 10/7. The customer called a couple of weeks later and told the front desk manager that he hadn't received the check. After relaying this message to the A/P manager, she double checked the mailing address. While it was sent to the tenant approved address, according to the USPS website, the zip code was incorrect for the city. When the customer called the front desk manager back, the front desk manager explained what we think happened and told him he could contact the A/P manager directly if he had any more questions. Our intent was to give the check 30 days to arrive at his address or be returned to ours before stopping payment on the check and issuing another. Unfortunately, the A/P manager does not work full-time and was not in the office on 10/28 when the customer called and left 3 messages within a 4 hour span. He then called down to the front desk and was told that the A/P manager was not working that day, but would be back on Tuesday. He contacted the Revdex.com the same day. Given that we waived the required 2 week notice, refunded him in spite of our no refund policy, and will likely have to pay a stop payment fee since the check was sent to an incorrect address that he approved, we feel that we are doing our very best to work with this customer.
