Rental agency breached contract resulting in over $15,000 worth of damages and losses.Agency failed to properly vet tenants & maintain property resulting in over $15,000. They failed to conduct bi-annual inspections resulting in damages that far exceeded normal wear and tear. This began in 2013 and is still going on today. We are currently 3,000 miles away from the property and feel as though we are being taken advantage of. I have written evidence they moved forward with a tenant without meeting my specific qualifications, which resulted in a property with dead animals, trash, and significant damage. All complaints can be substantiated with written evidence. In the 3 years using this company, we have had at least 7 different managers, resulting in poor care of our home. We allege that Sea Coast Rentals is negligent in their business practices and in violation of our management/home owner contract. Desired SettlementWe wish to be reimbursed for management fees and damages directly related to the negligence of the company's failure to abide by their contract. Business Response I am surprised at this complaint as Mrs. [redacted] has been a client since 2013 and I have never heard from this owner about any problems with our company before now. [redacted] has been property manager for our Jacksonville office since November of 2015 and before him, [redacted] was manger for over a year, so we have certainly not been through anywhere near 7 managers in 3 years.All of our applicants are treated the same by being required to fill out an application which we check credit, criminal and rental history on each. We score each applicant accordingly and allow them the right to move in based on these scores. If they do not meet the scoring requirements, we will discuss with the owner and if the owner gives us permission, although the tenant doesn't meet the scoring requirements, we will then move forward with the applicant. Otherwise, the applicant is denied. Again, this is a standard policy that continues through our entire company.Regarding inspections, I am happy to email copies of all inspections done to this property by Sea Coast Rentals between each tenant as well as email correspondence between mangers and the owners that show a line of communication through out. As you will be able to verify, these inspections are more frequent the Mrs. [redacted] accusation.Please let me know if I can be of any further assistance.Consumer Response I appreciate Sea Coast's response. However, I find discrepancies in the information provided that validates my concerns in their business practices. Below is a response, which also requests further information I have been unable to receive 1) Two inspections are attached. However, only one has a listed date. I have requested and received what I have been told is the "entire contents" of my owner file. However, there are no dates indicating when the inspections were completed. One document dates 11/2015, however there are no other dates. There is no way to verify when the other inspection was completed or if they are true and accurate inspections. Furthermore, based on a telephone conversation I had with [redacted] on 11/31/2015, I was told inspections are completed on the home every 6 months. This means four inspections are missing. I would like to see copies of these inspections as well. In the event the information I received from [redacted] is incorrect, there are still inspections missing. There should be copies of pre-move in and out inspections in addition to an inspection conducted when the home was first added to Sea Coast's caseload. At minimum, there are 3 inspections missing. I would like to see these inspections and have them submitted for the record. 2) The information included in the response is the first I have received regarding how tenants are vetted. I have requested this information, in writing, on four occasions 6/10/16, 6/14/16, 6/30/16, 7/6/16. I question the standards and protocol Sea Coast utilizes as the last two tenants, placed by Sea Coast have done $10,000 worth of damages outside of normal wear and tear. I have not been allowed to view scores or information on potential tenants when requested. I do not feel Sea Coat gave me the appropriate information to enable me to make an informed decision. If they are able to see information that I am not privy to, they are recommending a tenant to me as a home owner. The tenant's lease agreement states Sea Coast is required to provide this information upon request. However, I have received nothing regarding their qualifications as a tenant. 3) We discovered the most recent damage to the property via email from the listing agent, who assumed our property manager had been in contact with us. It then took 2 business days to receive contact from him. The listing agent was able to give us more information regarding the condition of the house, including that there were "dead animals" present, than our leasing agent. This outlines poor communication and business practices as well. Emails regarding our discovery of the condition are attached as well. 4) Number of property managers assigned our case. Below is a list of individuals we have personally dealt with in relation to our property since 2013. The turnover rate is exceptionally high. We average a new property manager more than once a year. The lack of consistency and continuity has led to and exacerbated and recurring issues we have with the management of our property. Since 2013, we have communicated with all the below listed individuals regarding our property. a. [redacted]b. [redacted]c. [redacted]d. [redacted]e. [redacted]f. [redacted]g. [redacted]In summary, we believe the negligent business practices and upkeep of our home resulted in substantial damages outside of normal wear and tear and business losses. I am requesting a full refund of property management fees paid out to Sea Coast since 2013 in relation to our property. Final Business Response I assumed ownership of Sea Coast Rentals on October 1, 2015, prior to this time, I had no involvement with Sea Coast Rentals. I have access only to files from which I had inherited from previous owner. All files for Mrs. [redacted] property have been distributed to the [redacted] aside from over 100 photos taken of the [redacted] property less than 14 days after our first property management agreement was signed on 11/1/12. I am happy to provide photos that show the property in very bad condition prior to our management contract. Any additional paperwork from years prior, I would assume Mrs. [redacted] had received in previous communication with prior managers/owners. Regarding the list of people who have corresponded with Mrs. [redacted], 3 remain as current employees in various positions ([redacted] - property manager, [redacted]-assistant manager, [redacted]-accounting manager). Mr. [redacted] was the existing property manager when I assumed ownership and remained for a period of 30 days, after which I hired [redacted] to replace him as my current property manager. [redacted] was property manager for 2 years prior to his departure. The other names mentioned were either previous managers before [redacted] ([redacted]) or administrative employees ([redacted]). I would not consider this to be a very high turnover ratio, as described by Mrs. [redacted]. Since my involvement, our property management team has been very responsive to Mrs. [redacted], even to this day, as she is still in communication with [redacted] several times a week as he assists her in coordinating vendors and preparing their home for sale. Continuing to use our services and relying on our managers' expertise as her main liaison, not the listing agent, to coordinate preparing their home for sale, even after our services are no longer needed, indicates that Mrs. [redacted] remains comfortable with our trustworthiness and communication. I am very sorry that Mrs. [redacted] feels Sea Coast Rentals has neglected her, however, I do not feel Sea Coast Rentals was negligent with our services in any way. I am unable to speak with certainty about any situations previous to my assumption of Sea Coast Rentals, but I am confident that since I have been involved with Sea Coast Rentals, we have done our very best to manage her property with Mr. and Mrs. [redacted] best interest in mind.
