We are responding to the above-referenced complaint, a copy of which is enclosed for your conveniencePer your request, in an effort to not disclose any personally-identifying information about the customer who filed the complaint, we will refer to the customer in this letter simply as “Customer.”The Society for Human Resource Management (SHRM) is a 501(c)(6) non-profit professional society that offers, among other services, certification exams in the human resource fieldOur records indicate that Customer applied and paid for the SHcertification exam on October 29, and received her Authorization to Test (ATT) letter on that same dayThe ATT letter that Customer received outlined the process for scheduling an exam appointment as well as stated the exam cancellation and refund policyAccording to the ATT letter, Customer needed to schedule an exam appointment to sit for the exam during the December 1, to February 15, testing window to avoid forfeiture of her exam fees.According to our records, and as conceded by Customer in her complaint, Customer did not schedule an exam appointment with our testing vendor during the testing windowOn page of the Certification Handbook, which all candidates must review and agree to adhere to as a part of their exam application, SHRM outlines its no-show policy (see below).For purposes of the SHRM Certification program and certification exams, “no-show”candidates are defined as those who:> do not appear for the exam on the scheduled appointment date;> arrive at the testing center more than minutes after the exam starting time, or withoutproper identification; > cancel the exam appointment less than five business days before the scheduled date; or > do not schedule an exam appointment with SHRM's test delivery vendor, Prometric, and whodo not request a refund within days after closure of the exam window.No-show candidates forfeit all exam fees.SHRM's policy does not allow an applicant who was a “no-show” to transfer his or her exam application and fees from one testing window to the next, which is what the Customer requested according to her complaintThat said, Customer does have the opportunity to request a refund of 50% of her exam fees (minus the non-refundable $application fee) provided that Customer makes such a refund request within days after the close of the testing window (which was February 15, 2016)According to the notes in Customer’s record, she was provided incorrect information regarding the timeframe that she had in which to request a refundFor that we do apologize.If Customer would like to request a refund, the Customer should complete the enclosed cancellation/refund form and e-mail it to the e-mail address on the form (certificationpayment(a)shrm.org)Customer should check the box on this form which states,“[] Cancelling exam after the late registration deadline (50% refund minus $application fee).” This form must be completed and submitted to SHRM at the above-listed e-mail address by March 15, in order for us to process the refund request.Ifyou have any further inquiries regarding this complaint, please feel free to contactus.Very truly yours,
