electronic medical record system tracks all user activity in a patient's chart and there is no record of her appointment being changed by our staff. Our office made a courtesy call to the patient on August 28th to remind her of her upcoming appointment and a message was left as the patient did not answer the call. On day of the appointment, [redacted] did not show, so contact was made with her at 2:30 and another appointment was made for October 9th and she also No showed for the October 9th appointment.
The patient contacted our office on October 2nd and spoke with me in regards to the No Show Fee. I explained to her that reminder calls are a courtesy and she would be charged the no show fee because the appointment was not cancelled within the 24 hours of the appointment. The patient was also reminded of the paperwork she signed upon establishing with our practice which states that if she failed to cancel her appointment without at least 24 hour notice, she would be charged a no show fee.
[redacted] has scheduled 7 appointments with our office between 8/9/13 and 10/9/15 and has no showed 3 times and cancelled one appointment.
I feel that our office has done its part in accommodating the patient with appointments and we give her a courtesy reminder call prior to each appointment, It is regretful that she is dissatisfied with the fact that we will not waive the no show fee.
Sincerely,
[redacted]-Billing Department
Initial Consumer Rebuttal /* (3000, 10, 2015/12/15) */
(The consumer indicated he/she DID NOT accept the response from the business.)
I called on August 28, 2015 and told the attendant that I would not be able to make that appointment scheduled for August 31, 2015, because I had a prior engagement. Am I to be penalized because the attendant did not record my request. I did phone as per their recognition August 28, 2015, 48 hours before my scheduled appointment. Re-scheduled but also unable to make this appointment, I also phoned and because of the offices not seeming to recognize my cancelation of the 1st appointment August 31, 2015 (who though recognized by the office per their admission now denies my claim)
I feel the offices lack of communication and lack of recording cancellations and of taking an hour to see its clients is irreconcilable and i'll never patron their offices again
