We had allowed them to do a temporary payment plan of per month and then advised them that it would need to increase, as the claims were very old.We sent them an increase letter in May of due to the age of claims and high balanceSpringfield Clinic offers interest free payment options and because of this, we need to ensure that the balance are paid off in a timely mannerThis particular account had balances that were almost years old and, with the previous monthly payment amount, it would have been approximately more years before they were paid offWe allowed them three more billing statements to review their options for payment in full or agree to an acceptable payment plan before it would age to collectionsWe did not receive a call back from them to set up the new payment and the account aged to collections on 8/8/17.At this time, we can offer to set up on a payment plan of per month with their current balance and return them from the collection agencyThe other option is for them to contact the collection agency and work out a payment plan directly with them.Sincerely,*** ***Billing Relations ManagerSpringfield Clinic

It is the policy of Springfield Clinic to work with our patients and keep them informed of outstanding balances. In addition to sending three statements to the patient, we also have two more steps in place to ensure that the patient is fully...

informed of the balance and have no questions or concerns. The first contact happens when the second statement is sent and it is just a friendly reminder that a second statement has went out. We offer to answer any questions and discuss all payment options available. After the third and final statement has went out, we make another phone call letting the patient know that this was their final statement and unless arrangements are made or we receive the full payment, the balance will transfer to a collection agency. Additionally, we also have verbiage on all three statements which say the following, "If you are unable to pay the total amount due, you must contact our Customer service department to make arrangements." Lastly, on the final statement before collection activity, we do indicate that it is the final notice.
It is correct that a balance could be sent to a collection agency even though payments are being made and accepted on the account. Unless payment arrangements have been set up with our customer service department or the balance is paid in full prior to the 90 days, a balance will go to collections. That being said, we have very patient friendly zero interest budget plans available and our customer service team routinely works with patients who call to request extended time for balances that cannot be paid off in 90 days.
In the case of Dr. [redacted], the phone call he is referencing was not a collection call, but merely a reminder call after his second statement. He still has one more statement to pay the balance in full before the balance could transfer to a collection agency. Based on his letter, we will reset his account for three more statements which will give him another 90 days to pay the remaining balance in full.

On 05/29/2015, we attempted to contact Mr. [redacted] regarding his outstanding past-due balance and left him a message to call us. On 06/14/2015, we again attempted to contact Mr. [redacted] to discuss his past due account. Because we did not receive a response and full payment was not made, nor payment arrangements set up, we had no choice but to turn the amount over to a collection agency on 7/7/2015. We spoke to Mr. [redacted] on 07/17/2015 and explained to him all of the above and that we could not pull the account from the collection agency. Mr. [redacted] paid the balance on 07/27/2015 in full to us, which we have reported to the collection agency. At this time, it will not be reported to the credit bureau because he paid the balance in full within 60 days.
