To Whom It May Concern: I have been in communication with Mr [redacted] regarding his move out damage charges as you can see in the emails attachedThe amount for full carpet replacement is $and we are charging a pro-rated amount of this to the former resident based on the carpet life of yearsI have pulled the move out inspection of the resident prior to Mr [redacted] which does not reflect carpet stains at the time of their move outIn the attached emails, I have offered to compare the information on the move in inspection if he could provide the document to me; however he does not have a copy in his possessionUpon move in, a move in inspection form is given to residents to fill out and return within hours to the officeOnce returned, it is signed by a member of the office staff and a copy is made for the resident and the other is placed in their resident folder At time of move out, a move out inspection is done with the assistant manager or myselfMrs [redacted] came in to the office and turned in keys on their way to the airportTherefore, they were not present at the time of the move out inpsection As you can see in the attached photos, this carpet is in need of replacement due to the excessive stainingThe picture that shows a larger view of the living room area is after it has been steam cleanedThe cost of carpet replacement is great and not done unnecessarilyHowever, just as Mr [redacted] would not have accepted carpet in this condition at move in, I cannot expect any other residents to At this time, we cannot dismiss the charges assessed, as they are true and actual charges based on damages caused by the resident during their month residencyThank you, [redacted] Community Manager-The Crossings at Veterans Parkway Apartments

Any resident turns the key when they are not coming back to their apartment, nothing wrong in that There is something called "apartment policy" I do not see any policiesYou should have kept the move in inspection formIf you are claming it may be not returned then that is also a failure on your partAs most apartments do not give the keys except when the resident turn in the form which I didI think any resident would be very hestitant in dealing with such management where there is no accountability nor responsibility Regards, [redacted]

While I do understand Ms [redacted] 's frustration, we have in no way hampered her ability to obtain new housingI have attached the rental verification that we sent yesterdayThis information states that we would in fact re-rent to Ms [redacted] , along with the information about her pets Reviews on the community in no way effect the information that we send on rental verificationsWe send only the information that is listed in the residents fileI have attached the notices sent to Ms [redacted] regarding her pets urinating and defecating on her patioThe decision of applications being approved is up to the company where she is applying I feel as though we have done nothing to "black list" Ms [redacted] from receiving housingHer rental verification was in no way negative or untruthful

For your reference, details of the offer I reviewed appear below.[Provide details of why you are not satisfied with this resolution.] Dear ***,I strongly disagree with what you said because no one from office management informed me to stay for an inspection, we told you our move out date a month prior, my wife was in the apartment for days after I left and if an inspection was necessary we could have easily scheduled oneWe returned the keys to the office as we thought that this is the protocol followedNobody mentioned there is another protocol to follow.Management misplaced my moinspection form and this is why I am disputing as I feel it's not fair on my side because it would have been live proof of my claimIf we can further reduce the amount to $I can pay in monthly installments to resolve the problem and settle the case

A work order was called in on Friday 2/27/by Ms*** *** in apartment regarding mildew on her windowsThe maintenance team responded by letting them know that that was not considered an emergency and we would not be able to make it out until Monday
A phone call was received again on Saturday 2/28/A member of the office staff informed them that someone would be out on Monday to assess the situation.On Monday 3/2/myself, *** ***, and *** *** the maintence supervisor went in to the apartment to view problemThe area had been cleaned and was cleaned again using a bleach, water and detergent solutionI was in contact with the residents on Monday letting them know we had been to their apartment alreadyI confirmed the email addresses for both residents so that communication could be streamlined
I have attached the communications between the office and both residentsWhile we do understand the frustration of Ms*** not feeling as if her concerns were addressed in a timely mannerWe do not believe that we were neglent in the response to thier requestAll work was completed, including a contractor coming to their unit, by Wednesday 3/4/at 12:00pmThis is less than hours from the time the work week started after receiving the work request
We offered a one time discount of $for the inconvenience resulting from thisThe resident agreed to this, and has since taken the discount on March's rentI believe this matter has been resolved after speaking with Ms*** today (3/5/15)

We are unable to reduce the amount due any further, as the carpet bill has already been reduced by $from the original amount dueAs you can see in the attached emails sent by the resident, they left the apartment four days prior than their reported move out dateAs an office staff, we are here Monday-Friday to conduct these move out inspectionsIf a resident does not request to be present, they are conducted once keys are returnedThe resident has every right to be there for thisIn fact we encourage it so that we may clear up any disputes such as this one at the timeWhen Mrs*** turned in the keys and amenity cards to the office she said they were on their way to the airportThe majority of move in inspections are completed at a time of the residents convenience by them simply calling the office when they are ready
The fact that the move in inspection form is not in the resident file could be due to the resident's failure to return itIf it had been turned in, we would have made a copy for the resident and placed the original in their file. I was able to retrieve the former resident of this unit's inspection who moved out on 6/30/and Mr*** moved in on 7/11/13/. If the apartment had been in this condition at the time of the previous residents move out, it would have been notated on this form

based on the carpet life of 5 years. I have pulled the move out inspection of the resident prior to Mr. [redacted] which does not reflect carpet stains at the time of their move out. In the attached emails, I have offered to compare the information on the move in inspection if he could provide the document to me; however he does not have a copy in his possession. Upon move in, a move in inspection form is given to residents to fill out and return within 48 hours to the office. Once returned, it is signed by a member of the office staff and a copy is made for the resident and the other is placed in their resident folder.  At time of move out, a move out inspection is done with the assistant manager or myself. Mrs. [redacted] came in to the office and turned in keys on their way to the airport. Therefore, they were not present at the time of the move out inpsection.
As you can see in the attached photos, this carpet is in need of replacement due to the excessive staining. However, just as Mr. [redacted] would not have accepted carpet in this condition at move in, I cannot expect any other residents to.

Reviews on the community in no way effect the information that we send on rental verifications. We send only the information that is listed in the residents file. I have attached the notices sent to Ms. [redacted] regarding her pets urinating and defecating on her patio.
The decision of applications being approved is up to the company where she is applying.
I feel as though we have done nothing to "black list" Ms. [redacted] from receiving housing. Her rental verification was in no way negative or untruthful.

The deposit in the amount of $125 is being refunded to the applicants. The check should be received from our corporate office in Montgomery Al within 30 days. I have emailed both Mr. and Mrs. [redacted] informing them of this. Should any further contact be needed I can be reached at ###-###-####...

There is no email or documentation showing that "The move out inspections are completed at a time of the residents convenience by them simply calling the office when they are ready".
You never mentioned anything in your emails about move out inspections, beside the move in inspection form that your office lost  due to severe negligence. Regarding early move out, I paid the whole month and I told this was going to be the last. We will give you the keys when we were finally moving out...did you expect anything else?
