Response:
August 22. 2013
In response to the complaint forwarded by [redacted] with regards to charges applied to her credit card, the District Hotel will stand by its action and justify it as follows.
As shown in her documents, [redacted] initially made two reservations using 3rd party internet booking site, [redacted]. The first reservation was meant to arrive on 8/13/2013 with a confirmation number #[redacted] and the second meant to arrive on 8/15/2013 with a confirmation number #[redacted].
Since the reservations were made indirectly through a booking service, any and all modifications or cancellations must be communicated to [redacted] and thus transmitted to the hotel.
Any cancellations received via [redacted] would change the status of the reservation to -cancelled. Every morning, it is standard procedure for the front desk at the District Hotel to confirm all the arrivals for the day. We log into the [redacted] database (among other booking sites we work with as well), and pull a list of arrivals and reconcile them with our list of reservations to arrive. If these reservations had been cancelled by [redacted], not only would they not have remained in the [redacted] arrivals list, their status would have been modified to - cancelled.
Please note: If the guest cancelled the reservations weeks in advance, she should have cancellation numbers as well as a cancellation email to show as proof of cancellation. This is [redacted] standard operation procedure
Please note the status of the reservations on each of the documents she printed and provided on 8/22/2013- the status is no-show. This is because at the time of arrival on 8/13/2013 and 8/15/2013, both reservations were still active and when the guests did not show up, the status of the reservation was modified to - no-show
As per applicable cancellation policies seen on the reservation confirmations she provided, the guest was charged one night for each reservation.
The District Hotel has followed standard procedure, as with all reservations received in the past and will be received in the future.
Thank you for bringing this to our attention. I hope we have responded to all questions as clearly as is necessary. If there are any more questions or concerns, please don't hesitate to contact me at [redacted]
