In regards to complaint #***, we have resolved this issue with our resident, *** ***. See attached letter that was emailed to ***, Monday, August 3rd 2015. Our on-site staff responded back to *** the same day as we received your notice, but I was out of town
until Monday the 3rd and am now just being able to respond to this concern
*** made a rental payment in June that was mis-posted by an employee who was just getting used to our new management software. Immediate attempts were made to correct the error, however, the situation was complicated with a problem within the new system and it required the involvement of the software management company to resolve it. This process was not as timely as we would have liked. Our new system allows resident’s to view their ledgers online, so as *** was monitoring her account she could see the balance reflected on her account incorrectly as we were trying to get it resolved. We understand that this was frustrating for her while she waited for the correction to her account, but please be assured that we were taking it seriously and were working to resolve the discrepancy within our new software program as soon as possible. As stated in the letter, her payment was corrected as of July 23, as of 3:59pm. Her account was restored to full positive status and any related fees charged in association with the error were removed. We have apologized for our error and have taken safeguards to prevent similar problems from happening in the future. I will also be mailing a signed hard copy of our apology to *** in the morning
