I have prepared the following letter to show that Bitterwood Ranch Apartment Homes has gone above and beyond when responding to the complaintant's HVAC repair requestsAttached you will find copies of work orders, invoices, and e-mail correspondences from the complaintant and myselfComplaintant
moved into Bitterwood Ranch Apartment Homes on Friday, June 26th, around approximately 4:PMShortly after moving in complaintant called by phone to inform the office that her HVAC unit was not cooling to her satisfaction, at which point a maintenance technician was dispatched to check it outOur maintenance tech found that the unit needed freon and added it accordinglyLater that evening, complaintant called again and stated that the HVAC unit was cooling, but not in the dining room or kitchenAs this was not an emergency, since complaintant stated that the HVAC unit was cooling elsewhere, no maintenance personnel was sent outThe complaintant called again June 27th and June 28th stating that the HVAC was cooling, but not in the same areas as described aboveOn Monday, June 29th, upon returning to the office, I dispatched our maintenance team out to the complaintant's apartment again to double-check that a/c was cooling and we did find that the HVAC was cooling properlyThe temperature outside that day was in the low-90's and the complaintant has vaulted ceilings in their unit which can cause minor temperature changes in various locations in the dwelling; however, the temperature in her bedroom registered degrees blowing out of the ventsAt this time, I asked our maintenance personnel to clean the coils to the fur down unit as a precautionary measureOn June 30th, I participated in a San Antonio Apartment Association seminar and was out of the office for the dayHowever, my assistant and my maintenance supervisor re-entered the complaintant's apartment to discover again that the HVAC unit was indeed cooling, but not blowing as strong in the kitchen and dining room as it was in the bedroom; a picture was taken of the thermostat, which showed the HVAC was at what the tenant had it set at - degreesThe following day, upon returning to the office from my seminar, I called the complaintant to offer my apologies and to let know that them know that I would personally be walking her unit in an attempt to fully ascertain her complaint (this is backed up by email correspondence)When I entered her unit, I found that the HVAC unit was indeed cooling, but in my opinion, not as well as it could have beenBitterwood Ranch was constructed in and many of our HVAC units are considerably aged, so I offered to replace her outside condensing unit and immediately placed a purchase order (P0#*** attached) that dayIt was delivered and installed the following day, July 2nd, All seemed well over the July 4th holiday weekend and I did not hear from tenant again until Monday, July 6th, at which point the complaintant asked if I could send an A/C specialist out to check the HVAC as complaintant was still not happy with the way it was coolingOnce again, I sent my maintenance supervisor to complaintant's apartment and found the HVAC unit acting in a similar mannerThe following day and upon correspondence with complaintant, I placed an order to have the inside fur down unit replaced (P0#*** attached) AND offered to temporarily move tenant to a unit right below her apartment home and the tenant declined the offer (see email dated 7/7/2015)Additionally, to be sure that everything was satisfactory with the install, I called *** *** *** *** *** *** to come assess the unit for a second opinionThey were here in the morning of July 8th, and found the unit slightly under charged and added additional freon, but reported that all else was well (see attached invoice dated 7/8/2015)As a measure of good faith we also offered complaintant a $rent abatement, to which she agreed to by emailUpon additional email correspondence with the tenant on July 9th, I was informed that the HVAC was set to 73, cooling at 73, but running constantlyTenant had bathroom vent opened fully and I suggested that she close it to 75% to help push air into other more important rooms in her homeThe next day, tenant sent another email correspondence at 4:PM; however, I had already departed for vacation for ten daysAn automatic response was set on my email advising all issues to be sent to my assistant's email address or to call the office directly (see attached)The tenant sent another email on July 11th, 2015, but unfortunately, was not responded to until Monday, July 13th, due to staffing issuesOn the 13th, upon complaintant request, *** *** *** *** *** *** was dispatched again and reported back that the system was "doing the best it can," but that a valve was leaking internallyAdditional maintenance was completed and to be on the safe, we offered to replace the recently installed unitAt this point, a warranty call was made to our HVAC supplier and another brand new unit was brought in and re-installed on July 15th, Complaintant also filed a complaint with the City of San Antonio *** *** *** *** and an investigator was sent outWe provide investigator with a copy of everything attached to this response and to my knowledge, as of today, their complaint has been closedIn closing, we have always responded in a timely and efficient manner to each of the complaintant's requestsIt is my hope that this complaint will be closed out and not reported negatively at the Revdex.com
