On June 6, 2015 the Facility Manager emailed our HQ to put a hold on [redacted]'s payments. That was not done, but was simply a...

clerical mistake. That has been rectified with apologies.
Ms. [redacted] stopped coming to her appointments about a month before she notified us that she had quit. The Package that she is signed up under is for time, not for sessions. So when she notified us that is when the refund would start. Because she didn't notify us for a month, that month should technically be paid for by the client. The Fm and trainers made several attempts to contact her both during the month that she did not attend as well as after her refund request.
We have rectified the situation by sending her a refund. Our refunds do come in check form and are sent once a month, so it does take 6-8 weeks.
I believe that Ms. [redacted]'s situation has been rectified as we decided to compromise on the refund.
