I am responding to your letter I received on June 11,2014
regarding ID #[redacted].
From time to time you have customers you absolutely can
not please. We have bent over backwards
to please Ms. [redacted] and after the job was complete...
with some minor hiccups
that we corrected, she seemed very happy.
I would like to give you the chain of events leading up to
Ms. [redacted] request for a receipt. This would show you this wasn’t the first time
she had complications receiving our invoices.
On 04/10/14 in the morning I generated credit memo 7363
and mailed it out. In the afternoon
after the crew returned and let me know I could bill out 25% of the job that
was completed I generated another invoice 7365 on the same day 04/10/14 this
was in the afternoon so it would have went out with 04/11/14 mail. On 04/15/14 I mailed the completed invoice [redacted] for the job. We did not receive
payment which the contract indicated to be paid in full when complete, however
the invoice defaults to net 10 days making the 2 invoices due dates 04/20/14
& 04/25/14. After not hearing from
Ms. [redacted] we called inquiring her payment, this was in the beginning of the week
of 050514, which she indicated she never received the invoices she only
received the credit memo. Which seemed
odd because they were all sent within a matter of days of each other. This was not a big deal to us so we just mailed
them out again (and followed up with a
statement on email) we then received her payment which arrived to us on 051214 (2-2 ½ weeks
late). She called after she saw the
check cleared the bank and wanted to know why she never received a
receipt. Due to her request we reprinted the 2 invoices and 1
credit memo and sent them out immediately!
About a week later we received another message stating she still hasn’t
received them and she would like a call back immediately. I personally called her back and got her
voicemail which I left a message stating that I was sorry she hadn’t received
them and if she wanted to give it a couple days maybe there had been some sort
of delay due to the Memorial Holiday and if she didn’t receive it I would be
happy to mail another one. The week went
by and she left another message on June 6th which was a vacation day
for me. I retrieved the unpleasant
message in my voicemail on Monday stating if she didn’t hear from us she would
go to the Revdex.com which I then in turn printed the 2 invoices and 1 credit memo
with the account statement immediately, scanned them and emailed them
immediately. Due to the 2 times that she
indicated she never received the invoices we mailed her, I thought this would be a sure fix since we
knew she had received emails. After
sending the email right away Monday morning she never responded to the email
which asked for her response. After
receiving your letter I emailed you and decided to also send another hardcopy
as a certified mail on June 12, which was delivered on June 13 @11:05 no one
home so notice was left. Final delivery
of 3rd set mailed was received certified by USPS on June 14 @
9:59am. I can assure you we were not
giving her the ‘run around’(as she puts it).
This is such an easy request there is NO reason for anyone wouldn’t do
it.
I would also like to remind you we have been in business
for 95+ years and I can honestly say this is the first Revdex.com letter I have ever
received. Please let me know if you’d
like me to send out a hard copy of the information as well so we can get this
