September 3, 2015The customer did phone in an order on August 5th and it did get charged to his credit card twice. When we were cashing up we realized it and immediately credited the same 162.05 to his credit card the same day. I talked with him on August 6th and told him we were sorry it had...
happened but had credited it that same day. On August 10th he called and ordered some more material and told me he had not received credit from his credit card company. We picked up a check when we delivered the materials from August 10th. We checked on Heartland's site, which is our credit card company and they had taken the money out of our account the day after we credited the customer's account. On August 24th the customer called and was quite irritated that he had not seen his credit yet. We called Heartland again to inquire; gave them the batch numbers and they said the transactions that were there were - 2 charges for 162.05 and 1 credit for 162.05. We then called the customer back and told him what our credit card company had told us. He was mad and said he had just called his bank and the money was not there! We asked the name of his bank and called Heartland back again and asked them the name of the bank that the credit had gone to. It was Federal Institution, which was the customer's bank. Our credit card company representative told us that some institutions take up to a month to issue credits and that if he did not see it after a month that there were steps to take for the credit card company to investigate. We called him back and gave him this information. He got more and more irritated. He was yelling at our person on the phone and I could see there was a problem when I walked by so I took the phone from her. He wanted us to call his credit card company because he didn't feel he should have to. I tried to explain that his credit card was not going to talk with us. He hung up on me. He called back some time later and asked to speak to the manager. I got the call. As I expressed to him the credit card companies frustrate us all sometimes and we did not have his money. I told him that I was willing to write him a check for the 162.05 and when he got his money back from his credit card company I expected him to bring the money back in to Viking. He sent his wife in to pick up the check the next day, August 26th and he cashed the check that day. I have not heard from him since. Respectfully Submitted,[redacted], VPViking, Inc. [redacted]
