[redacted] left a voicemail on July 1st, 2014. I
called her back, [redacted] received a gift certificate in 2013 and she wanted to use
it. She proceeded to explain to me that back in 2010 that my employee [redacted] had
to schedule her appointment and [redacted] was not very...
happy about that. We proceeded
to find a time for [redacted] to come in for a 60min Deep Tissue added Hot Stones with
a Lip Wax service. She requested July 9th at 515pm and I didn’t have
that available so she scheduled an appointment on Thursday July 10th,
2014 at 515pm. I proceed to tell her about the cancellation policy at Warm
Touch Body Spa and she would need a credit or debit card on file. She commented
she has a gift certificate, she gave me number 10469, I told her to please hold
while I looked that number up to verify the value. In my records it was not
recorded, so I proceeded to explain to [redacted] that I would need to verify the
correct amount because it was not in my records. So I just would need to
through the credit card records to verify the credit card didn’t decline
because it was purchased online. That made her very irritated and she commented
that she was not happy. I explained I just needed to verify the correct amount
and I would call her right back.
I looked through my records and found the credit card slip,
saw the gift certificate was purchased for $100. I proceeded to call [redacted] back
and explained that I found the credit card slip and if she wanted to I would be
more than happy to refund her the $100, I explained I didn’t feel there would
be anything I could do to have her enjoy her experience after the situation
with [redacted] and me needing to verify the credit card purchase went through. She
agreed and asked for me to refund her the $100. I told her the refund would not
go out til next week due to the holiday Fourth of July and she said that was
fine.
I mailed the refund to [redacted] out on July 8th, according to tracking it was delivered July
17th 2014. I received a call from [redacted] purchaser of the
gift certificate, explained the situation, explained mailed it out. [redacted] commented [redacted] did not receive it and she was extremely disappointed.
I call [redacted] back explain I did exactly what I was
asked to do and I felt it was not fair because either way she was not happy.
I was going to reissue her a 2nd refund because the 1st refund was misplaced, lost, I am not sure because according to my tracking number it was delivered. Julie came in on 7/24/2014. I asked her to read what I typed above and sign stating that she was receiving the refund, she refused to sign anything, recorded our conversation without my consent or knowledge, was extremely rude, told me I was lying even though she has just hearsay from [redacted] on the conversation between [redacted] and I on July 1st 2014. I explained to her I have nothing to hide, no reason to lie. She has that recording if needed.
I explained to her since her information was not accurate, I did not refuse [redacted] services, I would not be refunding the gift certificate. I have on all my gift certificates, gift cards as well as my website that "This gift card is redeemable for merchandise or services at Warm Touch Body Spa. It is not redeemable or refundable for cash..." she continued to get worked up, her hands were shaking, she started screaming at me and I told her "she needed to leave my establishment if she was going to scream at me". She asked for the gift certificate back, I crossed off the voided, initialed and dated stating it was still valid. She continued to yell at me because I didn't write the time down, that I didn't do it correctly.
I have proof in my online scheduler showing I tried to scheduled an appointment with [redacted], I then cancelled it because I would of gladly offer a refund since she felt uncomfortable coming to Warm Touch Body Spa. I have proof showing why I questioned if the gift certificate was valid or not. And since I decided not refund the certificate because she is accusing me of "refusing [redacted]" for services" I contacted [redacted] and told her to contact me when she was available to redeem services preferred.
[redacted] (the gift certificate purchaser) is stating that I refused services to [redacted] (client requesting the service). I was not refusing service to [redacted], I thought I was being polite by offering her a refund due to an experience [redacted] had with a previous employee back in 2010. After [redacted] coming in and accusing me of lying and accusing me of refusing services to [redacted], I told her I would not refund the gift certificate. I contacted [redacted] to schedule her services as previous requested. As of 7/29/2014 I have not heard from [redacted].
I have no reason to lie, I have no reason to refuse services or be mean to a client. I thought I was doing the proper thing, but it completely backfired. I will not be refunding the gift certificate and according to Wisconsin State laws and my attorney I advertise on all gift cards and gift certificates that Warm Touch Body Spa gift certificates/cards are non refundable or redeemable for cash. I explained that to [redacted] as well.
