Dear Revdex.com, We are very distressed to hear of ***’s less than stellar experience here with usWe aim to satisfy every customer’s needs and a positive experience is something we strive for every potential, current, and previous resident to take away from usWe want to address
the issues *** has brought up so that she may feel more satisfied with her experience at Sedona SpringsOur team cannot enter a resident’s home without either the written permission of the resident or, providing the resident with written notice that we will be entering their homeIt is the policy of Northland that we do not show occupied homesSome of our communities have permanent models that we show on a regular basis (Sedona Springs has one permanent model, a two bedroom) and we will show vacant homes that have not yet been leased since they are available and do not yet have an approved applicant ready to move inOur Leasing Consultants get very excited when this happensThe nature of the Austin apartment rental market is such that they rarely have all floor plans to show at a given timeIn spite of this we currently maintain just under a 98% occupancy rateThe majority of these new residents do not see their actual home until they receive their keys at move inWhat’s more, some do not even get to see their same floor planThere should be some discernment between what Mrs*** refers to as a “hold”, as she means it in two different ways which may have been a source of the miscommunicationAt application, we collect a $application fee per applicant and a $administrative fee per home in order to “hold” the home and take it off the market pending application approvalOnce an applicant applies, there is a window of time from receipt of the application to when the application should be approvedOnce approved, there is a window of time from approval to when the lease should be signedFor both of these windows of time we tell our Leasing Consultants it should take about three business days, or business hoursThis yields six business days from the date of application to the date of lease signing, which Northland believes is more than reasonable to “hold” a home off the market while approving an applicant to sign a lease with usIf we cannot approve an application or get a lease signed within this time frame, management decides either to continue “holding” the home or to consider the application cancelled since we cannot get a lease signed by the applicant in a reasonable amount of timeIf the resident is not satisfied with their apartment on moday we would allow them to cancel without penalty but have never had this happen at Sedona Springs. Additionally, it is not the policy of Northland to collect any deposit on a home until the move in dateAll we ask for is the application and administrative monies to “hold” the home off the market while we approve the applicationWe have thoroughly screened our leasing, application, and payment recordsThe only record we have with the name *** *** is from an online request for information submitted on November 17, 2015, and then the two responses *** sent as follow up on 11/19/and on 11/24/Both follow up attempts garnered no response from Mrs***There is no application completed nor any monies paid under this nameFrom how the complaint reads, it seems as though she may have conducted business with us under a different nameIf we know that name and the check number that we processed, we may be able to identify her paymentAlthough it is not the policy of Northland to refund monies on a cancelled application, we would be happy to re-evaluate if we had a little more information about Mrs***’s particular caseOur efforts are always to provide comfort, convenience, and exceptional customer service by exceeding customer expectations, accommodating all needs, and creating a positive experience for each customer every timeWe are grateful any time we receive feedback as it lets us know what we can do betterPlease let us know how we may further be of service, we look very forward to your replyKindest regards and wishes for a Happy New Year, -*** ***
