November 5,
To whom it may concern:
We would like to apologize to Ms*** for any frustration or hardship her financial aid situation may have causedWhile we did disburse her financial aid as soon as possible after receiving the funds from the Department of Education, we can understand that any delay in the disbursement of aid may have caused her undue distress
We have thoroughly examined the handling of her financial aid, and in no way did any employee or representative of Capella maliciously or intentionally delay the awarding or disbursement of her financial aidIf a learner decides to withdraw from our institution, we handle the Return of Title IV Funding in strict accordance with Department of Education regulations
Although Ms*** made it clear that she is unhappy with Capella, it is unclear what we could further do to rectify her situationAll financial aid has now been disbursed, but if she would like further clarification regarding the timing of her disbursement or the regulations surrounding her withdrawal and how that may affect a return of financial aid, we encourage her to speak with our FlexPath financial aid teamThey would be more than happy to assist her with any additional questions or concernsIf there are any other questions or concerns that I may be of assistance in addressing Ms*** with, she is more than welcome to reach out to me as well

To whom it may concern: This letter is in response to MsDanita *** complaint #***The nature of Ms*** complaint is that she cannot receive her official transcript due to a remaining balance on her account
After receiving her BS in Business and MBA, Ms*** enrolled in a PhD O&M program in the Summer of During the 2008-aid year, the Ms*** was reviewed for an overpayment twiceThe first time she was reviewed was in March of and the second review occurred in May of The March review found no overpayment and the May review found a $1,combined overpayment with $1,of the amount being an overpayment of subsidized loansThe day the May review was made, our financial aid processing team returned and processed a hand calculation (manually adding up the loans in NSLDS) and found that the combined overpayment was misreported but that there was still a $overpayment of subsidized loansTo resolve the overpayment, the financial aid processing contacted the lender to reallocate aid and resolved the overpayment for 2008-and 2009-aid years on 6/30/In 2010-Ms*** was again reviewed for an overpayment twice, the first of which occurred on July of Both times the combined overpayment was resolved but the lender did not reallocate subsidized funding and there was a $1,undergrad subsidized overpayment in NSLDSThe learner did not resolve the overpayment after both reviews while attending Summer and Winter after she was informed of how to resolve the overpayment and receive aidOn 7/31/Ms*** was administratively withdrawn from the PhD program due to her balanceWe apologize for any hardship this situation may have caused Ms***, but the balance on her account is due to her not resolving the overpayment as instructed for the terms in which she has a balanceWe encourage Ms*** to contact our business office regarding the past due balance currently on her account, as they may be willing to release her official transcript if she makes an initial payment and establishes a payment planPlease feel free to reach out with any additional questions or concernsRegards, Joe *** Learner Affairs Associate Learner Services & Operations (LSO)

April 22, To whom it may concern: This letter is in response to Ms*** complaint #***Ms*** is stating the balance owed to Capella for her Spring tuition is not correct because she dropped her classes in a timely manner The first indication we received from Ms*** in regards to dropping her spring courses was an email dated 4/22/in which she stated “Lian , I dropped my classes this quarter. My workload has increased and I was unable to complete my discussions and assignments. I would like to register for the summer semester. I will try to reach you after school or during my planning period.” At this point, Ms*** was already past the first days of the spring term, in which she could have dropped without owing the full tuitionOur tuition and fees refund policy is relayed to learners upon their admission, is outlined in university policy, and is available on the Capella Campus page (formerly iGuide) for learners to view at any timeThere is no record of any kind that Ms*** attempted to discuss the financial or academic implications of her self-drop with an academic advisor prior to droppingWe apologize for any inconvenience this situation has caused Ms***, but we would encourage her to continue working with our business office to work out a suitable payment plan for the balance owed on her accountPlease feel free to reach out with any additional questions or concerns Joseph *** Learner Affairs Associate Learner Services & Operations (LSO) *** *** ***

December 7,
To whom it may concern:
This response is in regards to complaint case #*** filed by Mr*** *** on 11/25/Mr*** is stating that he had requested to drop his course and that his request was denied, so he is now being pursued by collections regarding the balance due on his account
At the time that Mr*** stated he was having surgery and requested to drop his course, it was already past the point in the term where he could drop and receive a refundCapella does make exceptions to our tuition refund policy for unexpected medical emergencies, but unfortunately Mr*** does not qualifyThe statute of limitations regarding these requests is up to one full quarter after the term in which the unexpected emergency occurredMr*** would needed to have contacted us informing us of his situation, as well as submit supporting documentation from his healthcare provider, by the end of the spring term in March of It should be noted that we do not require a learner's documentation to state the nature of their illness or emergencyThe documentation from their healthcare provider must state that they are unable to participate in courses, the dates for which they are unable to participate, and the date which they can fully return to coursesWe do not violate HIPPA regulations by requesting this documentationWe had no contact with Mr*** regarding his situation until the balance he has due was sent to a collection agency after we were unable to contact himFor convenience and to help clarify any further questions regarding exceptions to our policy, I am attaching the criteria as listed on the students' iGuide page for reference
We apologize for any confusion or hardship this situation may have caused Mr***Our business office is willing to work with him to set up a payment plan for his past due balance that would be agreeable for both he and CapellaPlease feel free to contact me with any further questions or concerns

This letter is in response to Ms***'s complaint #***Ms***'s complaint is centered on a change in enrollment policy that occurred during her enrollment process that is requiring the submission of additional transcripts in order to be accepted to the university
Capella University requires learner's to submit transcripts for all schools which they have attendedAlthough there may have been a change in the process shortly after Ms*** submitted her application, this requirement is enforced of all students at the time of the admission review and not based upon the date their application was submitted
We apologize for any delays the enrollment and admissions process this requirement may have caused Ms***, but this is a requirement all applicants must adhere to on the date the application and admission decision is reviewedWe encourage her to continue working with our enrollment department for assistance on her admission to the universityPlease feel free to reach out with any additional questions or concerns

To whom it may concern:
This letter is in response to Ms*** ***'s complaint from case #*** submitted on 11/30/Ms***'s complaint is in regards to the balance owed on her account that she was not eligible to receive financial aid to cover
Ms*** was registered for the fall term for the final quarter of her dissertation towards a PhD in Public SafetyMs*** completed her final milestone the second week of the fall term and did not need to continue further with the fall termPer our published tuition and fees refund policy, Ms*** was only charged 25% of the quarterly tuition, which amounted to $1,There was also a portion of Ms***'s summer term in the amount of $2,that she did not have enough financial aid in place to cover as Ms*** only accepted $for that tuition charge of $4,Our financial aid page located on students' iGuide clearly outline the conditions a learner must meet to receive a financial aid disbursementOne of the requirements necessary to disburse federal financial aid is that a learner participate and be fully enrolled past the census date of the term, which is the second Friday after the term begins
We apologize for any undue hardship or stress that this situation may have caused Ms***Although we normally do not release official transcripts until a past due balance is resolved, our business office has worked with Ms*** to receive her official transcript while making payments to usOur business office can work with Ms*** if the payment plan or amount needs to be adjusted in any wayPlease feel free to contact me with any further questions or concerns

To whom it may concern:This letter is in response to Ms*** ***’s complaint #***The nature of Ms***’s complaint is errors she believes the university made that resulted in her not successfully continuing her FlexPath MBA program.Although Ms*** is claiming there was misinformation given by academic advising, there is no evidence or documentation to support that claimAgain; a supervisor from our FlexPath department spoke to Ms*** regarding her concerns and also investigated her claims at that timeThe information yielded from that investigation did not find there was misinformation or error that led to Ms*** discontinuing from her programing or preventing her from being successful. We apologize for any hardship this situation may have caused Ms***, but we cannot find any evidence that there were errors on the part of the academic team that led to her lack of success in the FlexPath MBA programAdditionally; there is no evidence to suggest there was an error or lack of following established expectations on the part of the financial aid team that led to her current past due balanceThe balance due on her account is the result of withdrawing from her program prior to earning the academic requirements to keep said funding in accordance with Department of Education regulationsWe encourage Ms*** to reach out to our financial aid office at her earliest convenience to discuss what options are available to resolve her past due balancePlease feel free to reach out with any additional questions or concerns.Regards,Joe ***Learner Affairs AssociateLearner Services & Operations (LSO)
